If you are giving travel information to parents/guardians, please make it clear to them that, at this stage, these arrangements are provisional and that there could be changes.Our Final Travel itinerary is issued upon receipt of your Final Balance Payment, which is due 8 weeks before your departure date.Independent Arrivals / DeparturesWhere individual members of your group choose not to travel with the rest of the school party, we must be advised in writing of their intended means of transport and arrival / departure time. In addition, they must be made aware that the group's travel insurance does not cover them for this independent travel and they must cover this themselves.No reduction in cost is available for individuals who do not travel with the rest of the group.Airport, Railway and Coach TransfersIt may be possible for Rockley Adventure to arrange for any children or accompanying staff/adults who travel independently of the school party to be collected from or dropped off at local airports or stations.Please be aware that this service is subject to availability, charges will apply and arrangements can only be made via our schools administration team in the UK.Channel Crossings - Coach TravelWe place a booking with the ferry operator upon receipt of your group's 1st Deposit payment, which may well be before the sailing times are confirmed.Please be aware that any times provided are provisional and will not be confirmed until we issue the Final Travel Itinerary on receipt of your final balance payment.. The ferry ticket is retained at the ferry terminal and is collected by your coach driver. Your ferry reservation number is notified to you on your Final Travel Details.. It is your responsibility to confirm final numbers for your group, your coach driver will provide you with a Passenger List form, in duplicate, to complete for the Ferry Company prior to embarkation at the port.. For small groups sharing a coach, the ticket and Passenger List form will cover ALL persons aboard the coach.The check-in and boarding procedures at the ferry terminal are normally co-ordinated by your coach driver.Cross Channel RoutesOur normal cross Channel route is via Dover-Calais. Alternative routes across the Channel may be available, however these crossings will incur a supplementary cost. Please contact the schools admin team for a quotation.CoachesFor groups with transport booked from their own school pick-up point, an executive coach with reclining seats, lap belts, dvd and toilet will collect you in good time to enable you to arrive at the ferry terminal check-in 1 hour prior to sailing.NOTE: Coaches with more than 49 seats may not have all the facilities described above.Remember to take suitable dvds for your coach journey.Shared / Feeder CoachesFor groups of less than 35 full paying, we may arrange for them to share transport with another group.
10www.rockleyadventure.coM 01202 677 272travel arrangementsDepending on the location of each group sharing a coach, we may choose to use feeder coaches to take one group to meet another en-route to the ferry terminal.Coach transfers would normally take place at a motorway service area.If feeder transport has been or-ganised for your group or a group with which you are sharing a coach, the pick-up and drop-off times and locations will be given on your Final Travel Itinerary.Your Coach JourneyBefore departing your pick-up point, your drivers will give a safety briefing and we ask that you help to ensure your group's full atten-tion to and subsequent compli-ance with the issues discussed.Coach Operator Service AgreementRockley Adventure and its Coach Operators enter into a service agreement to ensure each party has a clear understanding of the extent of responsibility and level of service required.If, for whatever reason, you are not happy with the standard of service please raise this with your Centre Manager as soon as possible.Responsibility of Group Leader and Accompanying Staff/AdultsTo make your journey as comfortable and stress-free as possible we suggest that you implement the following procedures: . Take regular registers - especially when getting on the coach after a stop. . Lap/seat belts to be worn at all times.. A member of staff should sit to the rear of the coach to oversee behaviour and to supervise anyone existing through the rear most exit.. The Group Leader should supervise any point at which the group has to cross the road. Ideally this should be done as a group.. When stops are made at service stations, the Group Leader should insist that party members remain in groups of at least 3 students and that they stay within the service station building.. In the event of a roadside coach break down, it is safer if your party remains on the coach (unlike cars and minibuses). If you and the coach drivers decide that the party should get off the coach, you should first check the surroundings and ensure your party are, and will remain, well away from the road.Rockley Adventure Staff TravelWe reserve the right to use spare seats on the coach, spare Eurostar tickets or flights for the use of Rockley Adventure staff, contractors or prospective customers travelling on inspection visits.Although we try to avoid placing extra passengers on a coach, it is sometimes unavoidable and may well happen at the last minute! We always endeavour to notify you in advance if additional passengers are to accompany your group.Eurostar Travel OptionIf you and your group would prefer to travel via rail to our centres in France this option is available for a supplement of £99.00 per person. The Eurostar travel option means that you depart on Saturday and arrive at our centre later that same day. On the return journey you will depart our centre on Friday and arrive in the UK later on the same day.Own TransportGroups may prefer to organise their own transport to our French centres. In this instance we are happy to help with advice and information and offer a £60.00 reduction per full paying place. Please ensure that your travel timings mean that you arrive at our centre on the Saturday and depart on the following Friday.FlightsSome groups may choose to fly to their destination and we are happy to assist with planning in this respect.
